Tips and resources for helping new employees
If you are new to the U, or assisting a new employee get oriented and situated, here are a few tips and resources:
For the hiring department:
- Submit the hire ePAF at least one business day prior to the employee’s first day of work.
- Complete section one of the eI-9 on or before the employee’s date of hire and complete section two within three business days of date of hire.
- Ensure the employee has the necessary access to a computer, email address, telephone, keys, etc.
- New hires who are benefits-eligible staff will complete a probationary period that can last six and nine months. Please review the progress and performance of new employees at three months and five months.

For the new employee:
- As soon as your department provides you with your University Identification Number (uNID), login to the Campus Information System (CIS) to change your password from your birth date (mmddyy) to a secure password.
- While logged into CIS, go to the “Employee Self Service Apps” section under the “Employee” tab:
- Go to “Payroll, Taxes and Salary” to complete your W-2 tax form.
- Go to “Personal Bio/Demo Information” to update your personal information, including your University email address. We encourage you to also complete the demographic information, such as veteran status and disability status. (NOTE: this information is kept confidential. Your answers will not be used against you in any way and the data is only used for the purpose of federal legal compliance). Also note that paper forms are no longer used for demographic self-identification.
- Go to “U of U Campus Alert” to set your campus notification preferences.
- Read and sign the Intellectual Property Assignment Agreement.
- Obtain UCard.
- If needed, purchase a parking permit. (NOTE: A UTA pass is free when you obtain your UCard.)
- You will receive an email with a link to the online new employee orientation modules you must complete. If you were hired into a benefits-eligible position, note that the benefits module will include information about how to enroll in benefits.

W-2 forms are available to faculty and staff electronically. Benefits of opting to receive your W-2 electronically include:
– Help the university go GREEN – if you file your tax return electronically, a paper copy of the W-2 is not required.
– You will receive your W-2 several days earlier.
– Your sensitive personal information will not be sent through the mail.
– Budget savings – this will have a positive impact on the university’s budget.
– Your W-2’s are available online back to 1999.

To sign up:
1. Sign on to the CIS and click the employee tab (if it is not your default tab).
2. Click Payroll, Taxes and Salary.
3. Click W-2 Consent Forms and you will have the option to select to receive your W-2 electronically.
