University timekeeping system upgrading to UKG Pro

The university is upgrading its timekeeping system from “Kronos” (UKG Workforce Central) to UKG Pro, and will launch it on Saturday, Nov. 1, 2025.

What’s changing with UKG Pro (and what’s not)

For many campus employees, the biggest change will be new university branding and a more modern look.

Some of the changes include:

  • Simpler experience for multiple jobs: Employees with multiple jobs will have an easier method of assigning time worked to the proper position.
  • New vertical timecard view for salaried employees: The timecard will now display the entire pay period in a single vertical view, making it easier to scroll and enter time without switching horizontally between weeks.
  • Improved automatic access for managers: Managers listed in PeopleSoft will automatically receive employee timecard access in UKG Pro.
  • Self-service delegation option for managers: Managers may assign tasks to another person via self-service to help cover duties during a vacation. The delegate will receive notifications and can perform tasks such as approving timecards and time-off requests.


Many things are NOT changing, including:

  • Pay schedules and pay codes: Pay dates, payroll approval schedules and pay codes will remain the same.
  • Faculty Time Assistant: FTA will continue to be the tool for reporting leave for faculty, not UKG Pro.
  • Payroll approval: Managers (or timekeeper/delegate) will need to review and approve employee time each pay period.
  • Time-clock station: The existing time-clock station will still be used.
  • Viewing paychecks: Paychecks will still be available in CIS by viewing the “View Paycheck” tile. Oracle PeopleSoft HCM will still be the payroll calculation engine.
  • Time-off requests: For departments/teams that utilize the UKG Time Off Request functionality, this functionality will continue.

 

What’s next?

Keep an eye open for these upcoming messages and events:

  • August
    • Verify employee manager information: To ensure HR has accurate manager information, we’ll be sending an email on Aug. 13 to managers of staff and student workers. These emails will ask managers to confirm or correct their list of employees.
  • September
    • UKG Pro launch website: UHRM will launch a website hosting all relevant UKG Pro information.
    • Information sessions on Zoom and Q&A: Human Resources will be hosting several online information and Q&A sessions.
  • October
    • Online trainings launched for employees and managers: Employee and Manager/Timekeeper Trainings will be launched on Oct. 1.
    • Verify employee manager information (Repeat): To ensure HR has accurate manager information for staff in PeopleSoft, we’ll be sending emails on Oct. 8 to managers of staff and student workers. These emails will ask managers to confirm or correct their list of employees and will reflect the changes provided in August.
  • November
    • UKG Pro go-live: Saturday, Nov. 1, will cut over to the upgraded system. More information about the details of the cutover plan will be shared in October.

For Health System (Hospital & Clinics) employees, there are additional changes designed to make it easier to manage time, view schedules and request/bid for shifts.
